In this informative tutorial, we will show you how to backup your company file data and also how to restore that data. Creating routine backups of your company data file is an essential part of preparing for an unexpected computer crash or data loss situation. You should backup your Quickbooks data daily, Or at the very least, it should be backed up after you or someone in your company makes any changes to your Quickbooks data, such as paying employees and/or vendors.


To perform a backup of your company data file in Quickbooks, begin by:

  1. Opening Quickbooks and then select and then open the company file that you want to backup.
  2. Next, once the company file is opened, click on the “File” drop down menu in the upper left corner of the menu bar.





















  1. Next, click on “Back up Company” in the drop down menu.





















  1. In this example we’ll be performing a local backup, which is what most of the businesses that we work with perform. On this screen click on the “Options” button at the bottom, because there are a few additional options that we’ll need to select and configure.



















  1. On the “Backup Options” screen select the destination that you want to save the backup file to. We suggest that you place the backup file on an external hard drive or a secure network shared folder. It’s a good practice to keep your backup data on a separate drive from the hard drive that Quickbooks is installed on. In case you experience a major data loss, such as a dead hard drive, your backup will be safely stored on a totally separate drive.




















  1. Next, set the “Limit the number of backup copies in this folder, depending on the available disk space to a much larger number. We feel that you could never have too many backups of your sensitive and important company data. Some of our larger clients maintain several months worth of Quickbooks data file backups as a precautionary measure.




















  1. Next, adjust the backup reminder option. We suggest that you change the reminder for backups when you close Quickbooks down to 2 0r 3 at the most. With this option set, you will be reminded to backup your data after you attempt top close Quickbooks after 2 or 3 times.




















  1. Next, make sure that the “Complete Verification” of the data file is selected. It’s always best to verify the integrity of every single backup file that Quickbooks creates, just in case there are inconsistencies.




















  1. After your adjustments are complete, click on the “Ok” button at the bottom.




















  1. If you receive the warning below, because you’ve chosen to store your backup file on the same drive partition that your Quickbooks data file is store on, just select “Use This Location” for now. But remember that you need to store the backup file in another location, such as an external hard drive or a secure network share.





















  1. Now click on “Next” at the original “Create Backup” screen.




















  1. Next, select the “Save It Now” option. And then click on “Next”.




















  1. Confirm the Backup location and file name for the backup data file and then click on “Save”.




















  1. Wait a few moments for your data to be backed up and verified. Depending on the size of your company data file, this could take a few minutes or more.









  1. Afterwards, click on “Ok” in the “Quickbooks Information” screen.









  1. That completes the backup procedure for your Quickbooks company data file.



How To Restore An Intuit Quickbooks Company Data File


To restore a Quickbooks company data file, begin by:

  1. Opening Quickbooks and then click on the “File” drop down menu.





















  1. Click on "Open or Restore Company".





















  1. Select “Restore a backup copy” and then click “Next”.


















  1. Next, select the “Local Backup’ option, unless you have an online backup account with Intuit’s “Data Protect” services that you need to recover your company data backups from.

















  1. Next, locate and select the Quickbooks backup file that you need to restore.



















  1. Click on "Next" at the "Where Do You Want To Restore The File Screen".

















  1. Select the destination folder that you want to save the restored data file in. And also enter a name for the company file.



















  1. Depending on the size of your backup file and it’s location, it may take a little while to restore. After it completes, click on “Ok” in the “Quickbooks Information’ screen.








  1. That’s it! Your company data should now be restored and displayed in Quickbooks.
